Volunteer Coordinator
Term: 10-week term Commencing on or about April 21 until June 27, 2025

Compensation: $18/hour

About the role:
Jazz Winnipeg is seeking a Volunteer Coordinator for a 10-week term to start on or around April 21, 2025.
Reporting to the Executive Director and working closely with the Program Director, the Volunteer Coordinator will be responsible for assisting in the execution and production of the TD Winnipeg International Jazz Festival, June 17-22, 2025.
The role is a critical part of the production team responsible for pre-event preparation, working at live events, and post-event wrap-up. This is a fast-paced, dynamic and deadline-driven environment and will include working with a large and varied group of dedicated individuals, administrative tasks, scheduling, logistics and assisting on the organization and set-up/tear-down on site at events.
The primary goals for this position are:
Managing the TD Winnipeg International Jazz Festival volunteer program in collaboration with the 15+ volunteer Crew Coordinators. This includes supporting the recruitment and placement of new volunteers, reactivation of returning volunteers, managing the 500+ members of the volunteer database, communication, training, deployment, and supervision.
Responsibilities include (but are not limited to):
VOLUNTEER COORDINATION
Responsible for the intake, training, coordination, and deployment of new volunteer recruits with volunteer Crew Coordinators
Working with the Marketing & Communications Manager to oversee the volunteer recruitment campaign
Learning and using the online Volunteer Management System to recruit, schedule, and manage volunteers (BETTER IMPACT)
Supporting and training volunteer Crew Coordinators to use the Volunteer Management System as needed for scheduling their volunteers as needed including developing schedules and communicating with volunteers.
Assist volunteer Crew Coordinators in assigning new volunteers to crews upon request.
Supervision and management of volunteer concerns leading up to and during the festival
Working with Sponsorship Manager to ensure sponsor deliverables (regarding volunteer program), connecting with local businesses to provide perks/discounts/prizes for volunteer appreciation..
Developing and implementing the volunteer plan with volunteer Crew Coordinators for the annual jazz festival
Supporting Staff and volunteer Crew Coordinators to deliver orientation and training sessions to volunteer crews.
Coordinating the ordering of t-shirts for staff and volunteer crews
Organizing distribution of t-shirts and volunteer badges with volunteer Crew Coordinators.
Communicating regularly with Jazz Winnipeg volunteer Crew Coordinators and volunteers
Create, share and print daily schedules and reports as needed for the smooth functioning of the festival as required by staff and volunteer Crew Coordinators.
Support volunteers who require assistance logging into, or navigating the Better Impact site
Organizing and managing delivery of volunteer benefits in collaboration with volunteer Crew Coordinators,
Organizing a post-festival volunteer appreciation party
Support the development and delivery of a volunteer survey to volunteers near the end of the festival. Knowledge of survey creation and collection is an asset.
Work with long-time Crew Coordinator volunteers and staff to implement operational changes to improve Festival efficiency and experience for volunteers and patrons, documenting new operational procedures.
Updating the Jazz Winnipeg volunteer plan following the festival
FESTIVAL PRODUCTION SUPPORT
Assisting with festival set-up and tear-down
Volunteer and Venue management during the festival
ADMINISTRATIVE COORDINATION
Responding to general enquiries (telephone, in-person and email)
Assisting with ticket sales (in-person or by telephone)
Manage incoming and outgoing office correspondence including voicemail system
Assist with sponsor contract fulfillment
Monitoring and maintaining office systems (technology, office supplies)
Other duties as assigned
We are looking for an individual who:
Is well-organized, highly personable, a critical thinker and excellent communicator
Has experience in community outreach and/or volunteer management and recruitment
Has a keen eye for detail
Has an ability and willingness to work long hours during the TD Winnipeg International Jazz Festival, held June 17-22, 2025
The Volunteer Coordinator would also work to establish relationships with community organizations to broaden the reach of our activities.
